Palazzo Te, a Renaissance masterpiece designed by Giulio Romano, is one of Mantua’s most important cultural landmarks and welcomes thousands of Italian and international visitors every year.
The visitor system includes not only Palazzo Te itself, but also other cultural institutions in the city such as the MACA Museum and the Leon Battista Alberti Temple, as well as dedicated initiatives like the Supercard Cultura, which provides multiple accesses to the main museums across the area.
Managing visits therefore requires a system capable of coordinating multiple elements at the same time:
✔ visit calendar with scheduled time slots
✔ tickets with different types and reductions
✔ guided tours in multiple languages
✔ management of schools, groups and tour operators
✔ integration with cultural cards and multiple access systems
✔ merchandising sales and additional services
A complex ecosystem involving individual visitors, schools, organized groups and cultural partners.
For Palazzo Te we designed a digital visit management system capable of coordinating all access methods to the museum and its related services, while maintaining a simple experience for visitors and an efficient operational tool for staff.
The system now allows the management of:
✔ a complete visit calendar with time slots and real-time availability
✔ guided tours in multiple languages (Italian, English and other languages upon request)
✔ custom ticket types and reductions
✔ rules between tickets and complimentary admissions, such as free tickets linked to the purchase of a full-price ticket
Dedicated procedures were also developed for specific visitor categories.
Schools can access a dedicated booking process including:
✔ specific registration for educational institutions
✔ selection of dedicated guided tours
✔ management of invoicing and fiscal documentation
✔ automatic management of complimentary tickets for teachers and accompanying staff
This allows schools to organize visits independently while reducing manual operations for the museum staff.
Dedicated booking methods were also implemented for:
✔ organized groups
✔ agencies and tour operators
✔ cultural operators and PR
with customized booking and management rules.
One of the most interesting elements of the project is the integration with the Supercard Cultura, a cultural card that allows access for 12 months to the main museums in the area.
The system allows users to:
✔ purchase the card online
✔ automatically associate access rights
✔ use the card directly at access control
✔ issue the admission ticket at the time of the visit
A process that simplifies the visitor experience while speeding up staff operations.
Visit management is also integrated with other museum services.
These include:
✔ sale of audioguides and guided tours
✔ management of educational activities
✔ online sale of official museum merchandising
All within the same purchasing system.
Palazzo Te also features a complex logistical configuration, with multiple access points to the museum complex.
The system enables the management of:
✔ digital access control
✔ monitoring of visitor entries
✔ management of multiple access gates (multi-venue)
✔ ticket issuance directly at the entrance when required
Ensuring smooth visitor flows even during peak attendance periods.
Digital visit management has enabled Palazzo Te to:
✔ efficiently coordinate individual visitors, schools and groups
✔ simplify operational work for the staff
✔ offer visitors a clear and flexible booking system
✔ integrate cultural cards, guided tours and additional services
✔ obtain clear data on bookings, access and visitor flows
In a complex cultural environment, the system has helped make visit organization more fluid, scalable and visitor-oriented.
The Palazzo Te project demonstrates how digital visit management can perfectly adapt to complex cultural contexts.
An approach that can be applied to:
✔ museums and cultural foundations
✔ museum hubs with multiple locations or exhibition spaces
✔ exhibitions with scheduled visits
✔ museum networks with cards and multi-access systems
